What Personal Information We May Collect
The information we collect depends on how you contact us and the service you ask us to provide. It may include:
- your name;
- telephone number and email address;
- postal, site or service address;
- company name, job title or other business contact information where relevant;
- information you provide in an enquiry, quotation request or other correspondence;
- information reasonably required to arrange, provide, maintain or support a security service;
- technical information generated when you use our website, where collected by our website, hosting, security or other technical services; and
- information contained in a CV or job enquiry that you choose to send to us by email.
Please avoid sending sensitive or special category personal information unless it is genuinely necessary for the matter you are contacting us about.
How We Collect Personal Information
We normally receive personal information directly from you when you telephone us, email us, complete a website contact form, ask for a quotation, become a customer, correspond with us about a service, or send us a job enquiry or CV.
We may also receive limited information from a business, property owner, contractor or other organisation where they ask us to contact you or where your details are reasonably required in connection with a security service. Where applicable, that organisation may have its own responsibility to tell you how it uses your information.
Why We Use Personal Information and Our Lawful Bases
We only use personal information where we have a lawful reason to do so. Depending on the circumstances, our lawful basis may include taking steps at your request before entering into a contract, performing a contract, complying with a legal obligation, or pursuing our legitimate interests in operating and protecting our business and providing requested security services.
Our main purposes and the lawful bases we may rely on are:
- Responding to enquiries and quotation requests – where you ask us to take steps before entering into a contract, we may rely on the contractual/pre-contractual basis. Where an enquiry is made in a business context or does not itself amount to pre-contractual steps, we may rely on our legitimate interests in responding to genuine enquiries and developing our business.
- Providing and supporting services – where you are personally party to the contract, we may rely on contractual necessity. Where the contract is with a company or other organisation and we need to deal with its staff, representatives, site contacts or other relevant people, we may rely on our legitimate interests in administering and delivering the agreed service.
- Customer and business administration – we may rely on legal obligations where records must be retained by law and on our legitimate interests in maintaining appropriate business, service, quotation, correspondence, invoice and transaction records.
- Safety, security, complaints and dispute handling – we may rely on our legitimate interests in protecting our business, customers, personnel and legal rights, investigating concerns and establishing, exercising or defending legal claims. A legal obligation may also apply where the law requires particular processing or disclosure.
- Legal and regulatory requirements – where we are required to process, retain or disclose information by law, we rely on the applicable legal obligation.
- Website operation, security and performance – we may rely on our legitimate interests in operating, protecting and improving a secure and effective website and understanding general website/search performance. Where consent is required for a non-essential cookie or similar technology, we will rely on consent for that specific use.
- Recruitment enquiries – where you contact us about employment, we may rely on steps taken at your request before entering into an employment contract and, where appropriate, our legitimate interests in considering and responding to genuine recruitment enquiries.
Where we rely on legitimate interests, those interests are the reasonable operation, administration, security and development of our business; responding to genuine enquiries; providing and supporting requested services; maintaining appropriate records; and protecting our legal and commercial interests. We consider whether our use of personal information is necessary and proportionate and whether your rights and interests override those interests.
We do not use customer or enquiry information to build marketing lists, and we do not operate an email newsletter or general email marketing list.
Website Contact Forms and Direct Correspondence
If you submit a website form, telephone us or contact us by email, we use the information you provide to respond to your enquiry, discuss the requested service, prepare a quotation where appropriate, and continue necessary direct correspondence about that matter.
Submitting an enquiry does not give MW Global Security Services blanket consent to use your information for unrelated purposes.
Customer CCTV and Alarm Systems
MW Global Security Services installs, maintains, services and supports CCTV, alarm and other security systems. We do not use customer-controlled CCTV footage, alarm event data or security-system information for our own independent purposes.
When carrying out installation, maintenance, diagnostics, servicing or technical support, we may occasionally require authorised access to a customer’s system. Any such access is limited to what is reasonably necessary to carry out the requested work and is undertaken on the customer’s instructions or with their authority.
Where this work involves processing personal information on behalf of a customer, the customer will normally determine the purposes for which that information is processed and MW Global Security Services will act only for the limited purpose of providing the requested technical service.
Google Search Console and Website Performance Information
We use Google Search Console to understand how our website performs in Google Search. This can include aggregated information such as search queries, clicks, impressions, pages and general search-performance data. We use this information to understand and improve the visibility and performance of our website, not to create customer marketing profiles.
Cookies and Similar Technologies
Our website and the services used to operate it may use cookies or similar storage and access technologies. Some technologies are necessary for the website to function, remain secure or provide a service you request. Other technologies may require your consent or may only be used where another lawful exception applies.
Where UK law requires consent for a non-essential cookie or similar technology, it should not be used on the basis that you merely continued to browse the website. You should be given an appropriate choice through the website’s cookie or consent controls.
You can also control or delete cookies through your browser settings. Blocking some essential functionality may affect how parts of the website operate.
Because website plugins and technical services can change, the cookies or technologies currently used on the site should be reflected in the website’s cookie banner, consent tool or cookie information where applicable.
Third-Party Services and Service Providers
We do not sell personal information and we do not knowingly disclose customer information to unrelated third parties for their own marketing purposes.
Like most websites and businesses, we use third-party suppliers and technical services to help us operate. These may include website hosting, WordPress plugins, website security, anti-spam, email, IT, communications, accounting or other service providers. A provider may process limited personal or technical information where this is necessary to provide its service.
Where a supplier processes personal information on our behalf, we expect it to use that information only for the relevant service and in accordance with applicable data protection requirements. Some third-party services may also act as independent controllers for information they collect directly; their own privacy information will then apply to that processing.
We may also disclose information where required by law, court order or a competent authority, or where reasonably necessary to establish, exercise or defend legal rights.
International Data Transfers
Some website, cloud, email or technical service providers may process information outside the United Kingdom. Where this results in a restricted transfer of personal information for which we are responsible, the transfer must be covered by a permitted mechanism under UK data protection law. Depending on the destination and circumstances, this may include UK adequacy regulations, appropriate safeguards such as approved contractual arrangements, or another permitted exception where applicable.
If you would like information about the safeguards relevant to a particular international transfer of your personal information, you can contact us at info@mwglobalsecurityservices.co.uk.
How Long We Keep Personal Information
We do not keep personal information for longer than we reasonably need it. The appropriate period depends on why the information was collected, whether a service was provided, whether correspondence is still active, and whether records need to be retained for legal, accounting, tax, contractual, insurance, security or dispute-resolution purposes.
Enquiry and quotation information that does not lead to an ongoing service will be reviewed and may be deleted or anonymised when it is no longer reasonably required. Customer and transaction records may need to be retained for longer where this is necessary to meet legal, accounting or contractual obligations or to deal with claims.
CVs and recruitment enquiries received by email will be kept only for as long as reasonably necessary to consider the enquiry or application and deal with any related correspondence, unless there is a lawful reason to retain them for longer.
How We Protect Personal Information
We take reasonable organisational and technical measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. However, no method of transmitting or storing information electronically can be guaranteed to be completely secure.
Your Data Protection Rights
Depending on the circumstances and the lawful basis on which we process your information, you may have rights to:
- ask for access to personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to erase personal information in circumstances where the right to erasure applies;
- ask us to restrict processing in circumstances where that right applies;
- object to certain processing;
- receive or transfer certain information in a portable format where the right to data portability applies; and
- withdraw consent at any time where we rely on consent as the lawful basis for a particular processing activity.
These rights are not absolute and may not apply in every situation. We may need to ask for information to confirm your identity before acting on a request.
Your Right to Object
You have the right to object to processing based on our legitimate interests in certain circumstances. If you object, we will consider your request and stop the relevant processing unless there are compelling legitimate grounds for continuing or the processing is needed for the establishment, exercise or defence of legal claims.
To exercise a data protection right, contact us at info@mwglobalsecurityservices.co.uk or use the contact details above.
Data Protection Complaints
If you have a concern or complaint about how we have handled your personal information, you can make a data protection complaint by emailing info@mwglobalsecurityservices.co.uk or by writing to us using the postal address shown in the “Who We Are” section above. Please provide enough information for us to understand the issue and identify any relevant correspondence or records.
We will acknowledge a data protection complaint within 30 days of receiving it. We will investigate the complaint appropriately, keep you informed where appropriate, and communicate the outcome to you. We may ask you for further information if this is reasonably necessary to investigate the matter.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator. Current contact and complaint information is available on the ICO website at ico.org.uk/make-a-complaint/.
Links to Other Websites
Our website may contain links to websites or services operated by other organisations. We are not responsible for how those organisations collect or use personal information. You should review their privacy information when using their websites or services.
Changes to This Privacy Notice
We may update this privacy notice when our services, website technology or legal obligations change. The latest version will be published on this page and the “Last updated” date will be changed when a material revision is made.
This notice is intended to explain our current privacy practices clearly. It does not replace any separate contractual or data-processing terms that may apply to a particular customer, supplier or service arrangement.
